BuiltRecord provides tools for users to organize, store, and manage property-related records, including drawings, files, and other documentation associated with a home or building. This Privacy Policy explains what information we collect, how we use it, how it may be shared, and the choices available to you.
2. Information We Collect
We may collect the following categories of information:
- Account information, such as your email address, authentication-related information, and account identifiers.
- Property and record information, such as addresses, property names, record titles, tags, notes, timestamps, and related metadata you submit or generate through use of the platform.
- Uploaded content, including files, drawings, PDFs, images, and similar materials you choose to upload, store, or manage through BuiltRecord.
- Usage and device information, such as browser type, device and technical diagnostics, log data, approximate IP-derived location, page interactions, and error reports.
- Legal consent records, such as the Terms of Service version and Privacy Policy version accepted at sign-up or at later reacceptance events.
- Communications, such as information you provide when contacting support or submitting feedback.
3. How We Use Information
We use collected information to:
- create and manage user accounts;
- authenticate users and maintain account security;
- provide document storage, organization, transfer, and search features;
- operate, maintain, troubleshoot, and improve the BuiltRecord platform;
- monitor performance, investigate incidents, prevent misuse, and protect the service;
- respond to support requests, service inquiries, and user feedback;
- maintain records of user consent to legal terms and policies;
- comply with applicable legal obligations and enforce our terms.
- review, restrict, remove, or investigate content and accounts for safety, policy, legal, or platform integrity reasons;
4. Sensitive Nature of Property Records
Some information stored on BuiltRecord may relate to homes, buildings, addresses, floor plans, systems, improvements, or other property-related records that users may consider sensitive. BuiltRecord does not treat uploaded records as publicly downloadable by default simply because they are stored on the platform.
Users are responsible for determining whether they have the right to upload, store, transfer, or share property-related materials through the platform.
BuiltRecord may also review or restrict certain uploads when reasonably necessary to enforce platform rules, protect users, comply with law, or preserve platform integrity.
5. How Information May Be Shared
We may share information in the following circumstances:
- Service providers. We may share information with vendors and service providers that help us operate the platform, such as providers for hosting, infrastructure, authentication, database, storage, analytics, and error monitoring.
- User-directed actions. Information may be shared when you use platform features to transfer a property, grant access, or otherwise share records with another user or recipient.
- Legal and security reasons. We may disclose information when reasonably necessary to comply with law, respond to lawful requests, enforce our terms, investigate misuse, or protect users, the platform, or the public.
- Business transactions. We may disclose or transfer information in connection with a merger, financing, acquisition, restructuring, sale of assets, or similar transaction, subject to applicable law.
We do not state that we “sell” personal information in the ordinary meaning of that word in this Privacy Policy. If our practices materially change, we may update this Privacy Policy and take additional steps as appropriate.
6. Data Retention
We retain information for as long as reasonably necessary to provide the service, maintain account functionality, preserve operational and legal records, resolve disputes, enforce agreements, and support security and business needs. Retention periods may vary depending on the type of data, the sensitivity of the information, whether the account remains active, and applicable legal or operational requirements.
We may also retain limited backup, log, and security information for a period of time after deletion requests or account closure where reasonably necessary for fraud prevention, incident investigation, legal compliance, or disaster recovery.

We use reasonable administrative, technical, and organizational measures designed to protect information. However, no storage system, software environment, or internet transmission is completely secure, and we cannot guarantee absolute security.
8. Your Choices and Requests
Subject to applicable law and operational limitations, you may request access to, correction of, or deletion of certain account information. You may also choose not to upload certain materials if you do not want them stored on the platform.
If you are a resident of a jurisdiction that provides additional privacy rights, you may have additional rights under applicable law. We may need to verify your identity before acting on certain requests.
9. Third-Party Services
BuiltRecord may rely on third-party providers for core platform operations, such as hosting, authentication, database and storage infrastructure, analytics, and error monitoring. Those providers may process information on our behalf in connection with providing their services to us.
10. Policy Updates
We may update this Privacy Policy from time to time. When we do, we may revise the “Last updated” date above and take additional steps as appropriate depending on the significance of the changes.
